APPLY STUDENT VISA CLICK HERE!! INTERNATIONAL STUDENT International students have to apply online for their Visa Approval Letter (VAL) through Education Malaysia Global Services (EMGS) . It advisable student to apply VAL minimum 6 weeks before your registration date. STUDENT VISA - INTERNATIONAL STUDENT - International students MUST apply and obtain the approval to study in Malaysia before entering MalaysiaConversion of an existing Social Pass (Tourist Visa) to Student Visa is strictly not allowed.Applicants MUST submit the passport and documents [list of document] to the Academic Management Division (AMD) UniMAP for student pass endorsement  within 7 days  after arriving to avoid additional charges.DO NOT PURCHASE YOUR FLIGHT TICKET  until you have obtained the VAL & SEV approval.Student is advised to travel to Malaysia Within the period of the registration date (as i.e 1 or 2 days before reception date). You may be blacklisted and deported back to your home country. You can be prohibited to enter Malaysia for a period of time.  UniMAP will also impose a daily penalty charge for overstayed students. Please renew your student pass 90 days (3 month)  before expiry.It is compulsory for student to have a valid insurance policy throughout your study in Malaysia. Stay protected all round the clock wherever you are. It is imperative that you monitor the expiry date of your Student Insurance Policy to ensure you are always covered. UniMAP will advised your insurance on your new application/ renewal.Currently UniMAP have a special unit taking care of International Student Affairs supervise by International Student (Senior Student) .All higher educational institutions in Malaysia is required to sign a Personal Bond on behalf of the student as prescribed under Regulation 18 of the Immigration Regulations 1963 as a guarantee that the student to whom such as a pass is issued will comply with the provisions of the Ordinance and of any regulations made there under. To comply with this requirement the university requires the student to lodge with the university the said sum for this purpose. Student Pass Renewal for Existing Students ALL INTERNATIONAL STUDENTS ARE RESPONSIBLE FOR THEIR OWN STUDENT PASS VALIDITY WHILE STUDYING IN MALAYSIA. Transfer / Cancellation/ COM / Personal Bond Refund

1.TRANSFER STUDENT PASS TO NEW PASSPORT

  1. Student have a new passport, but the student pass/ dependent pass  is still valid in the previous passport.
  2.  Change or losses/damage the passport must apply for transferring the current pass to the new passport.

Note:

  1. Student/Dependent may denied to exit from Malaysia if the valid visa is not transfer to new passport
  2. If student change passport at home country, please submit for transfer pass before your special pass expired/ as soon as possible. Cancellation/ Transfer will take 2 weeks for passport collection

 

a. I had renew my passport at home country. The student pass still valid at old passport. Can I enter Malaysia?

Upon arrival at Malaysia, please show to the Immigration Officer your student pass at old passport. The immigration will give a Special Pass for 14-30 days. Please submit your passport for transfer endorsement to new passport at UTM International Office within 3 days of arrival.

 

b. My passport is expiring less in 1 year and will renew my passport. How about my current student pass in old passport?

If you are in Malaysia, you please renew your passport at your embassy. Then  apply for a transfer of endorsement (i.e., transferring the student pass sticker from your old passport to the new passport). Please submit both passport (Old & new) for transfer the sticker endorsement.

2. CANCELLATION OF PASS  (STUDENT OR DEPENDENT PASS)

1. Graduate/ Completion of Studies from UTM

Students who have completed their studies must cancel their student pass and their dependent pass. UTM International give instruction to  the Immigration Department of Malaysia to cancel your student pass and make a police report if student fails to cancel his pass upon graduation.

2. Deferment of Studies

A student who defers from studies must get approval from University and must cancel a student pass and dependent pass (if any).

3. Withdrawal or Termination from studies

A student who withdraws from his/her study must inform UTM International  before leaving Malaysia. The student pass and the dependent pass will be cancelled, upon submission of passport, withdrawal letter from faculty, and confirmed flight ticket.

4.  Change Programme or Change University  
a. A Student who have accepted admission offer letter from other institution must cancel UTM student pass.
b. A student who had change a programme within UTM also required to cancel current student pass and apply variation to new programme.

Important Note:

  • UTM International will lodge a police report on those who fail to comply with regulations and will request the Immigration Department  to cancel your student pass.
  •  Student  who have completed their study/graduate/terminate  or  defer from study cannot apply for renewal f pass.
  • Applicant who wants to change the pass from dependent/ employment pass to student pass required to apply for cancellation of the current pass.
  • Cancellation/ Transfer will take 3 weeks for passport collection

STUDENT PASS CANCELLATION

Leaving Malaysia without  cancelling your student pass will result in the forfeiture of your Personal Bond deposit by Immigration Malaysia and can cause consequences if student decides to apply to another University within Malaysia/ to apply another visa in Malaysia.

3. CHECK-OUT MEMO (C.O.M)

Check-out memo is  issue by Immigration Department for student who had enter Malaysia using VAL, however decided not to proceed registration / medical check-up failed/ personal reason. Please proceed to UTM International for check-out memo application. It will take 10 working days to complete.

Note: Student may deny to exit Malaysia by Immigration if you enter country using VAL, however not complete the pass endorsement.

4. PERSONAL BOND REFUND

After graduation or withdrawal or terminated from studies student can get refund of your personal bond by completing refund personal bond form. The form can get from UTM Bendahari. Leaving Malaysia without  cancelling your student pass will result in the forfeiture of your Personal Bond deposit by Immigration Malaysia and can cause consequences if student decides to apply to another University or progression within Malaysia.
NOTE: Student must submit cancellation of the pass before submit for Personal Deposit refund

a. Student Pass Cancellation

Overstaying is an offense in Malaysian Law. Immigration Department will impose a penalty ranging from RM1,000 – RM5,000 depending on the duration of your overstay. You may be blacklisted and deported back to your home country. You can be prohibited to enter Malaysia for a period of time. You may even be imprisoned. UTM will also impose a daily penalty charge for overstayed students. Please renew your pass 90 days  (3 months) before expiry.

SPECIAL PASS WHY APPLY FOR SPECIAL PASS (SP) ? Special Pass is a temporary pass issued by the Immigration Department of Malaysia. Usually it is valid for 30 daysA Student  who current student pass had expired WITHIN 7 days.Late submission for renewal/ new student pass i.e less than 6 week before expiry of student pass.When converting from current pass to other of passes and insufficient period of time less in the current pass.When current pass is expired while waiting for Student pass/extension/renewal application approval.Application  for variation or progression while waiting for VAL approved in country ( refer to UniMAP International – applicable for current UniMAP student only)Immigration will charge RM100  for each Special pass issue and UniMAP admin charge is RM30.*The application for a special pass is subject to approval by the Immigration Department of MalaysiaCHECKLIST FOR SPECIAL PASSNOTE:SPECIAL PASS ISSUE UPON DISCRETION OF IMMIGRATION DEPARTMENTMalaysia Immigration Department has tightened the implementation of giving the Special Pass.  Special Pass can  only apply for 2 times. Validity of  each Special Pass is for 30 days. For the first  Special Pass, Immigration Department will mark “Pending Decision for Student Pass” and for second Special Pass will mark as “Making Arrangement to Leave the Country”All applicants who were given the Special Pass “Making Arrangement to Leave the Country” will no longer can  apply for other passes such as Student Pass, Employment Pass or Professional Visit Pass while they are  in Malaysia. No conversion from one pass to another pass shall be made or given anymore by the Malaysia Immigration.  Student have to leave Malaysia before expiry date once received the this Special Pass.Can I apply Special Pass ?NO! Special Pass can only apply by the Institution if the student have application to another pass ( i.e from dependent pass to student pass or from Master Pass to PhD Pass)OVERSTAYStudents and dependents who have overstayed in Malaysia will be brought to the Enforcement Unit, Immigration Department 2 times for verification to the Immigration Enforcement Officer, accompanied by Academic Management Division Officer (UniMAP) .  Passport Collection

Students are advice to email AMD UniMAP (ADMISSION UNIT)  at This email address is being protected from spambots. You need JavaScript enabled to view it.  before coming to our counter to collect passport.

  • New / Renewal of  student pass will take approximately 4-6 weeks for passport collection after submission complete document. Please track your application at EMGS portal for application status.
  • Cancellation/ Transfer will take 2-3 weeks for passport collection
  • Dependent (New /Renewal) will take approximately 4-6 weeks for passport collection

Please bring supporting document (i.e holding letter, yellow receipt, etc) for AMD UniMAP verification

AMD UniMAP will email to student when passport is ready for collection. If student unable to collect your passport, you can send representative to collect the passport by completing Authorization Form.  Please bring document for passport collection.
